01Sort the file by how fast each item can move
Everything in that folder belongs to one of three groups. Same-week items are administrative: a form, a fee, a signature, a copy of a card. Multi-week items depend on somebody outside: a check waiting on a court's response time, a screen sitting in a laboratory queue, a certification course that only runs on fixed dates. Then there are the items with biology inside them, which nobody can accelerate at any price.
That last group sets your start date, and it is where confirmed placements slip. A two-step skin test needs its second reading days after the first. A vaccine series carries intervals no clinic will shorten for you. A titre can come back showing no immunity, sending you into a series you believed was long finished, and that single laboratory result costs more students a term than anything else on the list.
02What is usually in it
Requirements are set by your school and then added to by the site, and the site's list always wins. Ask for both in writing at the same time, because the second one arrives late and contains all the surprises.
- Immunisation records with dates, plus titres wherever the site wants proof of immunity rather than proof of a dose
- Tuberculosis screening in whichever form is accepted there, whether that is a two-step test, a blood test or an annual film
- Seasonal influenza vaccination, which has a season attached to it and a cut-off sitting inside that season
- A criminal background check through the vendor the site names, not the one you used last year for a different employer
- A drug screen ordered by the school or the site, usually valid for a short window and often required again later
- Life support certification at the level your programme specifies, expiring after your placement ends rather than during it
- Personal health cover, liability insurance, a respirator fit test, and the site's own orientation modules with their own logins
03Dates expire in the middle of a placement
Every document in there has a validity window, and windows pay no attention to semesters. A certification lapsing in week six ends your hours in week six. A background check older than the site's limit is refused even though it was perfectly acceptable on the day you uploaded it.
So the document worth keeping is not the folder, it is the expiry list: one page, every item, the date it runs out and the date you intend to renew it, set a month early. Check each against the last day of your placement rather than the first. Where a renewal needs an appointment, book it before you need it, because clinics are busiest at exactly the moment your entire cohort remembers the same thing.
04The order to do it in
Start the biological items the day you are accepted into the programme, not the day you are matched to a site, since they run away in the background while everything else happens. Start the external ones next, because a queue you do not control is a queue worth joining early. Leave the same-week administration until last: it is genuinely under your control and it will still be sitting there when you get to it.
One habit, learned expensively by other people: upload in whatever format the tracking system demands and keep your own copies of everything. Systems reject photographs of documents, records vanish somewhere between a school portal and a site's own system, and the student who can produce a dated original inside the hour keeps their start date. Where the site itself is still missing, the search and the paperwork are run together, and the contract between your school and that site is a separate document with its own delay built in.

How early should I start the file?
The week you are admitted, before you know where you are going. Nothing in the biological group is site specific, so a completed immunisation record, a current life support card and a clean screening history are useful wherever you end up. Students who wait for a match routinely discover a series that needs weeks, and by then the site is holding a start date they cannot move again.
My titre came back showing no immunity. What happens now?
You repeat the vaccination, usually as a full series with intervals between doses, and then retest afterwards to confirm. This is normal and it is not a reflection on your records. Tell your placement coordinator the same day, in writing, with the dates you have been given, because a start date that shifts by four weeks is manageable and one that shifts on the morning it begins is not.
The site wants a different background check from the one my school ran.
That happens frequently and the site's requirement stands. Different organisations use different vendors and different lookback periods, and one check rarely satisfies another's standard. Ask which vendor they accept and whether they will take a recent report from another provider. Budget the fee and the wait again, and where possible order it as soon as the match is confirmed rather than after orientation.
Can any of these requirements be waived?
Rarely, and only through a documented process. Medical and religious exemptions exist at many sites, though they usually take longer to approve than the vaccination would, and some clinical areas will decline a placement outright regardless of an exemption. Ask about the route the moment you know you will need one, and expect to hold a written decision before anybody schedules you.
